The Challenge of Documentation Management
In aviation, the distribution of technical documentation is a complex task. Aircraft manufacturers specify specific distribution guidelines according to which manuals must be sent to airlines and other recipients. This information is usually provided in printed form, forcing suppliers to develop individual solutions for processing and management.
In addition, a Publication Index is required to list and distribute all published documentation. As this information is often stored separately and evaluated manually, inconsistencies and errors arise, which complicate the entire process.
Our Task
As a company that not only produces manuals but also distributes them for customers, we were faced with similar challenges. Our aim was to create a solution that would make all relevant information available electronically, manage our customers’ handbooks as well as organize their distribution efficiently.
In addition, print quantities should be calculated automatically and accompanying documents such as delivery bills, address labels and publication indexes should be generated directly from the data in different formats. Manual effort should be reduced to a minimum.
Efficiency through Intelligent Processes
With the Aircraft Documentation Monitoring System (ADMS), we have developed a database-supported solution that meets all these requirements. The central database records all relevant information on document distribution, including:
Handbook data such as equipment part numbers, ATA references, revision levels and issue dates.
Manufacturer information such as airplane and customer effectivities, required copies per customer and shipping addresses.
By linking this data, ADMS generates precise worklists and checklists that show at a glance which documents need to be delivered, in what quantity and to which recipients. These lists are clearly displayed on the screen and can be printed out if required.
Automated Document Distribution
ADMS goes far beyond mere administration. It automatically creates print-ready accompanying documents such as delivery bills and address labels from the existing data. Monitoring distribution is also made easier: confirmations of receipt can be tracked and returns can be processed.
Another core function is the generation of publication indexes, which can be sorted according to various criteria such as part number, ATA reference or customer effectivity. This saves time and ensures maximum consistency and accuracy.
